Overview of Fulfilment

When a customer places an order, it moves through a lifecycle of four stages: Order Created → Payment Completed → Dispatched → Fulfilled. Fulfilment is the stage where you dispatch the order to the customer, either by booking a courier, recording a manual delivery, or handing it over for in-person collection.

The fulfilment options available to you depend on the courier partners you have activated in Courier Settings.

Setting Up Courier Partners

Courier setup is managed under the Shipping section of the left-hand menu. Click Courier Settings to view your available courier partners. Each partner is shown as a card displaying its status (Active or not), whether it shows on checkout, any dispatch fees, and the integration features it supports.

BeNimble integrates with several courier partners, including eParcel eCommerce Courier, PUDO Smart Lockers, The Courier Guy, and BobGo Smart Shipping. Depending on the partner, integrations can include:

  • A quote system for order dispatch
  • A booking system for orders
  • Live tracking
  • Live shipping rates
  • Partner-specific features such as smart-locker selection or wallet balance enquiries

Each card also lists the partner's support contact, website, and tracking link, along with a Manage button to configure that partner.

Which partners you activate here determines which courier quotes appear later when you dispatch an order, so it is worth enabling the partners that suit your business before processing orders.

The Fulfilment Methods

When you dispatch an order, BeNimble offers three shipping channels:

  • Courier – Books the shipment through one of your activated courier partners.
  • Manual – Lets you record your own delivery arrangement outside the integrated couriers.
  • Click & Collect – Used when the customer chooses to collect the order in person rather than have it shipped.

Finding Orders to Fulfil

Orders awaiting fulfilment are found under Orders → Open Orders. This page is organised into tabs:

  • Awaiting Payment – Other
  • Awaiting Payment – EFT
  • In Progress

Orders that have been paid and are ready to dispatch appear under the In Progress tab. Each row shows the order ID, date created, customer, product count, total, and the latest note, with a View link to open the order.

Orders that customers selected for in-store pickup also appear separately under Shipping → Click & Collect, listed with their order number, the date the collection order was created, and the customer, each with a View link.

Dispatching an Order

Open an order from the Open Orders list by clicking View. The order page shows the lifecycle progress bar, the current status, the next step, and the full list of order items. From here you can also download the dispatch note or invoice.

When the order is ready, click Dispatch Order. On the dispatch screen:

  • The left panel shows the Customer Paid Shipping Detail — the shipping option the customer chose and paid for at checkout, including its short code and the amount charged.
  • The right panel, Dispatch Options, contains a Shipping Channel dropdown where you choose how to fulfil the order.

Select Courier, Manual, or Click & Collect, then click Next Step.

Fulfilling by Courier

If you choose Courier, BeNimble asks you to build the order into one or more parcels. You can combine items into parcels as you choose, and add more using the Add Parcel button. For each parcel, enter the width, height, and length in centimetres and the weight in kilograms.

Measurements must be whole numbers — no decimals. Round up where necessary to avoid quote errors.

Once parcel details are entered, click Get Courier Quotes. BeNimble returns quotes from all of your activated courier providers so you can compare and select the most suitable option.

After selecting a quote, you are taken to a Book Courier confirmation screen that summarises the shipment:

  • Service
  • From and to locations
  • Charge weight
  • Order reference
  • Insurance value
  • Scheduled collection date
  • Final cost

Review the details and click the button to post the shipment to your chosen courier. Payment for the shipment is handled through your own account with that courier, and the courier may adjust pricing or weight when they receive and scan the parcel. After booking, confirm the collection arrangement with the courier directly.

Fulfilling by Click & Collect

If the order is a Click & Collect order, the shipping channel reflects this and there is no courier charge. Prepare the order and mark it dispatched so the customer can collect it. These orders can be tracked from the Click & Collect page under Shipping → Click & Collect.

Fulfilling Manually

The Manual option lets you record a delivery you are arranging yourself, outside the integrated couriers, and mark the order as dispatched accordingly.

Tracking Shipments

Booked courier shipments appear under Shipping → Courier Shipments, which lists your active shipments with details such as the courier, store, order number, date created, waybill, service, reference, and status. The list can be exported to CSV or Excel, and shipments with live tracking can be monitored through the integrated tracking.

Tips

Keep the following in mind when fulfilling orders.

Activate the courier partners that suit your business before you start fulfilling orders, since only activated partners return quotes at the dispatch stage.

When entering parcel dimensions, always use whole numbers and round up to avoid quote errors.

Courier costs are settled through your own account with the courier. The courier may re-rate a parcel after scanning it, so the final charge can differ from the quote.
